How to Connect Your Restaurant POS to Sage in South Africa

Connecting your restaurant POS to Sage is one of the highest-impact bookkeeping improvements you can make as a South African restaurant operator. It eliminates daily manual data entry, keeps your Sage accounts current, and ensures your VAT records match your actual trading data. This guide covers exactly how to connect MangoPOS to Sage Business Cloud, what data flows across the integration, and how to verify the setup is working correctly.

Before you start: what you need

To connect MangoPOS to Sage, you need: an active MangoPOS account with at least one completed cashup (this creates the data structure the integration maps to), a Sage Business Cloud account (contact Sage at sage.com/en-za/ for a new account), your Sage API credentials (found in your Sage account under Settings > API), and a mapping between your MangoPOS revenue categories (food, beverages, etc.) and your Sage account codes. Your accountant can advise on the correct Sage account codes if you are not sure.

Step 1: Access Accounting Integrations in MangoPOS

Log in to MangoPOS and go to Settings > Accounting Integrations. Select Sage Business Cloud from the integration options. MangoPOS will prompt you for your Sage API Client ID and Client Secret. These are available in your Sage Business Cloud account under Settings > API Access. Copy and paste them into MangoPOS — do not type them manually to avoid errors.

Step 2: Map MangoPOS categories to Sage accounts

Once authenticated, MangoPOS will display your Sage chart of accounts and ask you to map each MangoPOS revenue category to the corresponding Sage account. For example: MangoPOS "Food Sales" maps to your Sage "Food Revenue" account code. MangoPOS "Beverage Sales" maps to your Sage "Beverage Revenue" account. MangoPOS "Service Charge" maps to your Sage "Service Charge Income" account. Take time to get this mapping correct — it determines how your data appears in Sage.

Step 3: Configure VAT and payment method mapping

MangoPOS will also ask you to map payment methods to Sage accounts: Cash to your Sage Petty Cash or Cash account, Card to your Sage Card Merchant account, and House Accounts to your Sage Debtors account. Configure VAT as standard rate (15%) for food and beverages. If you sell any zero-rated items (certain basic foods are VAT-exempt under SARS rules), configure those categories as zero-rated in both MangoPOS and the Sage mapping.

Step 4: Run a test sync

After configuration, MangoPOS allows you to trigger a test sync with your previous day's cashup data. Run this test and verify the entries in Sage match what you expect from your MangoPOS report. Check that revenue figures match, VAT amounts are correct, and payment method totals align. If anything looks wrong, review the account mapping in step 2 — most issues are mapping errors rather than connection errors.

Step 5: Enable automatic daily sync

Once the test sync looks correct, enable automatic sync in MangoPOS. Going forward, every time a manager completes and signs off the cashup in MangoPOS, the day's data is pushed to Sage automatically. You do not need to initiate the sync manually. Your accountant will see the previous day's data in Sage each morning.

Troubleshooting: what to check if the sync fails

Common sync failure causes: expired Sage API credentials (regenerate in Sage settings and update in MangoPOS), a Sage account code that was renamed or deleted (review the category mapping), or a network issue during the sync (MangoPOS will retry automatically and alert you if the issue persists). The MangoPOS support team can diagnose integration issues — most are resolved in a single support call.

Can I connect MangoPOS to Sage Business Cloud?

Yes. MangoPOS integrates directly with Sage Business Cloud (Sage One). Setup is done through MangoPOS Settings > Accounting Integrations.
